Primary Purpose: The Office Managers will be based at the Feed the Future – Mboga na Matunda offices in Dar es Salaam, Iringa, Morogoro, Mbeya and Zanzibar. You will be reporting to the Operations Manager. In addition to the specific tasks stated below, you are expected to contribute fully, as a program team member, conducting yourself in a proper manner at all times as a representative of the program, is responsible for the safe keeping and care of program assets assigned to sector team. The Office Administrator is expected to provide operational, logistics and administrative support to the Mboga na Matunda team, and is responsible for ensuring the success of sector activities and their contribution to program objectives. Specific responsibilities include, but are not limited to: Duties and responsibilities: ? Maintain staff calendar. ? Provide administrative support to staff. ? Provide logistical support for events and meetings, including travel and hotel arrangements as per Company policy. ? Identify and obtain quotes from vendors of goods and services in the region. ? Maintain a hospitable environment for guests visiting the office. ? Perform bookkeeping tasks under the direction of the Operations manager, including compilation of an office expense report. ? Procurement and management of supplier relationships such as the telephone company, internet provider, cleaner, and security staff. ? Manage proper filing system for incoming and outgoing mail and other organization documents as required to ensure efficient office operations. ? Support HR in recruitment efforts and orientation for local hires. ? Manage and maintain inventory control for all project assets in the office. ? Support in the process of VAT exemption. ? Performing any other duties as may be assigned by the Operations Manager Key Qualifications: ? Minimum Diploma in Business Administration, Human Resources or Social Sciences with 2- 3 years experience in Office Administration/ Operations or related field. ? Previous work experience in working with NGOs would be preferred ? Highest ethical and integrity ? Ability to organize multitasks, prioritize and work under pressure.
