BASIC FUNCTION OF POSITION Responsible for daily runs to the airport to pick up and deliver incoming and outgoing mail, process incoming and outgoing mail for delivery, processes calls on the Embassy Switchboard, and performs basic media reproductions jobs. This position is a labor intensive position that requires the ability to lift mailbags up to 70 pounds several times a day. MAJOR DUTIES AND RESPONSIBILITIES: 35% of time Assists in the preparation, documentation and dispatch of all outgoing mail. Incumbent will be required to drive to dispatch and collect mail from airport and Local Post Office. 20% of time Clears incoming air and surface mail through customs, assists in the opening, controlling registered items, distribution of contents and filing all related documents (airway bills, invoices and pouch invoices). Position will be required to carry money to pay customs fees and perform all necessary security checks on mail. 20% of time Operates duplicating machine, routes and distributes the end product. Send/receive facsimiles and logs such event. 20% of time Operates the Nortel Meridian telephone console. Receives and processes incoming calls to the individual or office. Position will place long distant calls and maintain a record of telephone usage. Maintain a current internal telephone list of Chief of Mission staff. 5% of time Other duties assigned by supervisor. QUALIFICATIONS REQUIRED All applicants must address each selection criterion detailed below with specific and comprehensive information supporting each item. Education: Completion of Secondary school (form IV) required. Prior Work Experience: One year of mail handling or telephone switch experience required. Language proficiency: Level III English ability (good working knowledge) and level IV (fluent) in Kiswahili is required. Knowledge: A good working knowledge of basic mail handing procedures is required. Good working knowledge of operating various types of photocopying machines is required. Skills and Abilities: Basic Computer Skills. Must be able to obtain driver’s license class “E” within the first 3 months of employment and ability to learn basic telephone and/or switch board is required.
