RESPONSIBILITIES: Accounting Functions: ? Complete various accounting functions in accordance with established policies and procedures, including: o Filing copies of final monthly reports o Maintaining backups of accounting data o Assist in contributing relevant data, and provide data for annual audit ? Perform all accounting functions using Tally,or any other relevant software package as required. ? Follow-up regularly and proactively on upcoming and outstanding/overdue insurance premium payments, so as to ensure policies remain active and do not lapse. ? Evaluate receipts, expenditure forms, purchase orders, distributions, and disbursement orders for the purpose of ensuring compliance with established regulatory standards. ? Perform verification and reconciliation tasks for invoices/receipts/balances according to department checks and balances procedures. ? Prepare and oversee VAT and Withholding Tax records, making sure payments/ claims are correct and done in a timely and lawful manner. ? Manage and control Petty Cash transactions on a daily basis ensuring balances are up-to-date, and properly supported by receipts, authorized approvals and any other items as required. ? Process and post payment to suppliers, vendors, service providers, advertisers, etc. ? Coordinate collection, consolidation and evaluation of financial data by preparing special reports. ? Prepare pertinent information and data for Auditors; participate as required in audit exercises. ? Oversee all payroll related tasks: Prepare necessary documents related to monthly payroll for signatories and onward submission to bank; liaise with bank regarding payroll relates issues; file all statutory deductions (PAYEE, PPF) to the respective authorities. ? Keep all accounting information current and accurate, and assume responsibility for effectively researching, tracking, and resolving accounting problems and discrepancies. ? Be custodian of records, payroll information and documents; assume responsibility for strict confidentiality and safekeeping of all such relevant documentation. ? Any other related projects, tasks, systems and processes refinement, development and implementation, as required. ? Any other relevant tasks as assigned by supervisor. Administrative Functions: ? Assist in providing day-to-day office/admin services, maintenance of workplace equipment, amenities, stationery and supplies. ? Oversee and Manage Reception/Front Desk area: - Receive, accommodate, assist and direct visitors, attend to vendors, suppliers, contractors, couriers, deliveries and pick-ups. - Provide telephone coverage, manage incoming/outgoing mail, faxes, courier deliveries, and general front desk related functions. - Answer incoming calls, redirect calls to appropriate individuals or take messages for relevant person in the office. - Maintain a clean, safe and aesthetically pleasant & professional appearance of the reception, meeting/boardrooms and common areas of the office at all times. ? Ensure signage, furniture, fixture, fittings, equipment and any other items in the reception area are in good order; report breakage and ensure prompt removal, replacement or repair of the item. ? Assist in coordinating and organizing client meetings. Attend to set-up and clean-up of rooms before and after meetings. ? Stationery & Supplies: Check inventory of office supplies, stationery and provisions on a weekly basis, and ensure stock levels are maintained. ? Liaise with security, service providers, vendors and suppliers, as and when required, ensuring problems and issues are quickly escalated and resolved. ? Assist Manager to organize corporate/office meetings or special events, as requested and required. ? Assist in matters of security, medical, evacuation and/or emergency matters. ACADEMICS | QUALIFICATIONS | SKILLS | EXPERIENCE ACADEMIC EDUCATION ? Degree in Accountancy or Advanced Diploma plus at least 1 year of experience in the field of accounting. ? Some experience, exposure or knowledge of administration and coordination. ? Working towards NBAA or any government regulated required qualification. KNOWLEDGE & PROFESSIONAL ATTRIBUTES ? Extensive knowledge of generally accepted standard accounting principles, established procedures, and regulatory requirements applicable to the work. ? Demonstrated technological competence, strong Microsoft Office skills especially in Excel and Word ? Good working knowledge and experience in TALLY or similar accounting software. ? Superior level of written and oral communication skill ? Work to strict deadlines anticipated delays and plan ahead. ? Investigative minded to internal audit and report suspicious transactions or discrepancies. ? Proven ability to manage multiple projects, deadlines and priorities in a fast-paced, ever-changing work environment. ? Demonstrated cultural sensitivity, adaptability and flexibility to live and work in a less-than-fully-structured environment. ? Demonstrated and inherent Integrity and honesty. ?
